Investor Relations Administrator
Our client is looking for an experienced Administrator to keep a busy global team organized and running smoothly. Reporting to the head of the department, you’ll provide day-to-day operations and project support to the full team, along with comprehensive administrative support to select officers. This role suits a calm, proactive professional who anticipates needs, handles confidential information with discretion, and looks for better ways to get things done. - Location: Downtown Los Angeles, CA | 4 days in office
- Compensation: This job is expected to pay about $40 – $48/HR W2

What You’ll Do:
- Manage complex calendars, schedule internal and external meetings and calls, and prepare and distribute meeting agendas
- Support meeting preparation and execution, including catering, technology setup, guest clearance, and materials, while arranging travel and submitting expense reimbursements
- Prepare and post documents, maintain departmental trackers, pull reports, incorporate document edits, and update Salesforce data
- Screen and route calls and mail, process invoices, log parking validations, order supplies, and help onboard new team members
- Manage the firm-wide quarterly letter email distribution process and work independently on special projects
What Gets You the Job:
- 7 to 10 years of administrative experience supporting high-level executives, including calendaring, meeting preparation, travel arrangements, creating reports, and processing invoices
- Strong proficiency in PowerPoint, Word, Excel, and Outlook, plus experience setting up and managing Zoom and Microsoft Teams calls
- Excellent verbal, written, and presentation skills, with the ability to build credibility across all levels
- Proven discretion with confidential information, sound independent judgment, and a calm approach to competing priorities and tight deadlines
- Preferred: Bachelor’s degree, financial or professional services experience, experience with Concur, Workday, and Salesforce, and experience leading administrative assistants in a player/coach capacity
